Organization Terms
Last updated: October 09, 2026
These Organization Terms apply to organizations that publish and sell events and courses on Experts as a legal entity, through an organization workspace. They supplement the Terms of Service, the Refund Policy, the Publishing Policies and the Privacy Policy, which continue to apply.
Each organization also signs an organization agreement with Experts that sets its specific commercial terms. This page states the general rules. Where the signed agreement sets a commercial term for that organization, such as the organization's share, the payment gateway fee or the included services, the signed agreement governs that term.
1. Organizations and Verification
An organization is a legal entity, such as a company, institution or association. It is separate from the personal accounts of the people who work for it, and Experts verifies it before it can use an organization workspace.
An organization can sell events and courses only when all of the following are in place:
- Experts has verified the organization and its representative
- A signed organization agreement is in effect
- Experts has completed its financial review of the organization
- An active organization subscription exists, unless the signed agreement waives the subscription
The organization must give Experts accurate legal, registration, banking and tax information and tell Experts promptly when it changes. Each person who signs or acts for the organization must have the authority to bind it.
2. Members, Roles and Invitations
An organization acts through its members. An owner invites an existing Experts account to join, and the person becomes a member only after accepting the invitation. A member can hold more than one role. The roles are:
Presenters do not need a personal instructor approval, a personal publishing subscription or a payout account to teach for an organization. Membership does not give anyone personal publishing or administrative rights on the platform. An owner represents the organization and cannot also be a presenter.
- Owner: manages members, agreements and bank details, and signs for the organization
- Content manager: creates and edits the events and courses assigned to them
- Finance manager: views statements and requests payouts, but cannot sign agreements or change bank details
- Presenter: teaches the events and courses assigned to them
- Analyst: views activity reports, without access to financial information
To change a member's roles, the organization removes the member's access and sends a new invitation. The last active owner cannot be removed. When access is removed, the person's access to the organization's events and courses ends, and Experts keeps a record of their teaching history.
The organization is responsible for the access it gives its members and for what they do on the platform on its behalf.
3. The Organization's Public Account
Each verified organization has a public account that represents the organization, not an individual presenter. Events and courses owned by the organization appear under this account.
The organization chooses which presenters and speakers are shown on its events and courses. Their names, titles and photos, as entered by the organization, may appear on event and course pages and on the organization's public account.
The organization manages the delivery of its events and courses and its own agreements with presenters.
4. The Organization Agreement
The organization agreement is a written document in Arabic and English, signed electronically by an authorized representative of Experts and an authorized representative of the organization. Creating an account, publishing an event or course, or using the platform does not sign it. It takes effect only when both parties have signed and its effective date has been reached.
The agreement sets the organization's share of sales, the payment gateway fee, the services it includes (which may include waiving the organization's subscription fee) and the dates on which it is effective and expires.
An amendment takes effect only after both parties sign it and its effective date is reached. It applies only to checkouts that start on or after that date. A checkout that has already started, and sales already made, keep the terms that were captured when the checkout began.
When the agreement expires or is no longer in effect, new sales and publishing stop. People who have already bought keep their access, and refunds and earned payouts continue under these terms.
General updates to this page do not amend a signed agreement or the terms captured at checkout.
5. How the Organization's Share Is Calculated
For each paid sale, Experts starts from the amount the buyer actually paid. It removes value-added tax (VAT), then removes the payment gateway fee set in the organization agreement. What remains is divided between the organization and Experts. The organization receives the percentage stated in its agreement as the organization's share, and Experts keeps the remainder as the platform commission.
Discounts and coupons lower the amount the buyer pays, so they lower the amount that is divided. The split is applied to what the buyer actually paid. VAT collected from buyers is not part of either party's share.
If a sale comes through an affiliate referral, the affiliate commission is deducted from the organization's share, not from the platform commission.
The percentage and the gateway fee are agreed for each organization, so this page does not state fixed figures. They appear in the organization's signed agreement.
6. Organization-Owned Events and Courses
Sales of an event or course owned by an organization settle to the organization, not to the individual presenters of that event or course. Presenters, hosts and speakers do not receive a revenue share from Experts for these items.
The Instructor Revenue and Payout Policy applies to individual instructors. It does not apply to organization-owned events and courses.
Organization-owned events and courses are created and managed in the organization workspace, not in a personal creator account. A course needs an accepted presenter member as its primary instructor.
7. Presenters and Named Speakers
An event may be presented by members who hold the Presenter role, or by named speakers who do not have an Experts account. The organization enters a named speaker's name and title.
The organization alone is responsible for compensating its presenters and speakers, for its agreements with them, and for obtaining their permission to be named and shown. Experts does not pay presenters or speakers and is not a party to those arrangements. A presenter's or speaker's participation does not make them a beneficiary of the settlement between Experts and the organization.
8. Refunds
Buyers have the same refund rights for an organization's events and courses as for any other purchase, as set out in the Refund Policy: a request made within seven (7) calendar days of purchase and, for an event, before the event starts. Courses are also subject to the content consumption limits in the Refund Policy. A request made in time is assessed as of the date it was made, even if it is reviewed later.
When a refund is processed, the organization's earnings from that sale are cancelled and any related affiliate commission is reversed. If the organization's earnings from that sale have already been paid out, Experts' finance team reviews the case under the signed agreement. Experts does not automatically deduct such amounts from the organization's future earnings.
9. Earnings, Holds and Payouts
The organization's earnings from a sale stay pending until their payout date. For an event, the payout date is seven (7) days after the event ends (after its last scheduled occurrence), whenever the registration was made. For a course, it is seven (7) days after the purchase is completed.
Reaching the payout date does not guarantee payment. Experts does not pay out an earning while any of the following applies:
- The buyer can still request a refund within the refund window
- A refund request is unresolved, or a refund has been accepted but not yet processed
- The purchase was reversed or did not complete
- Experts' finance team has placed the earning under review
An owner or a finance manager can request a payout of the organization's available earnings once they reach the minimum amount, currently SAR 100. Experts reviews the request, checks eligibility again and pays by bank transfer in Saudi riyals. Payouts are made only to the bank account that the organization submitted and Experts verified. Only an owner can submit or change bank details, and a changed account is not used until Experts verifies it. A payout is complete when Experts records the bank transfer reference.
The bank account should be in the organization's own name. Where the account holder's name differs, for example an account held by a related entity, Experts reviews the bank certificate and decides whether to accept it. Larger payouts may need approval by a second Experts administrator before they are paid. Experts checks the organization's registration with the Ministry of Commerce's commercial registry (Wathq) using its unified national number. Payouts pause while the registry shows the registration as suspended, deleted or in liquidation (for example, when the annual confirmation is overdue); owners are told when this happens, and payouts resume once the registry shows the registration as active again. Earnings keep accruing meanwhile.
Experts may also place an earning under finance review, or withdraw an item from sale, where reasonably necessary for legal, tax, payment, fraud or platform-policy reasons.
10. Moving Existing Events, Courses and Earnings to an Organization
An individual creator may already be selling an event or course under a personal account when they join an organization. Following a documented review, Experts administrators may move that event or course to the organization. A move is made only when:
After the move, future sales settle to the organization under its agreement, and the individual creator no longer receives a share of them. Earnings from sales made before the move stay with the creator unless they are transferred as described below.
- The organization is verified and has a public account
- The event or course is unpublished and has no open checkouts
- Every earlier paid sale has been recorded
- Its presenters are accepted members of the organization, or, for an event, named speakers
Experts may also transfer the creator's earlier unpaid earnings from that event or course to the organization. Only earnings that have not been paid out, are not on hold and are no longer within the refund window are eligible. A transferred earning is removed from the creator's balance and recorded for the organization, and the two entries always match.
When the organization agreement is meant to cover those earlier sales as well, Experts may recalculate each transferred sale under the agreement, using the agreement's share and gateway fee on the amount the buyer paid, with any affiliate commission still owed deducted. Experts funds any difference between the recorded amount and the recalculated amount, or receives it back if the result is lower. The difference is not charged to the creator.
Experts may reverse a transfer, by recording reversing entries rather than deleting records, only while neither the creator's earning nor the organization's earning has been paid out or placed on hold. A transfer can be reversed once. The reversal returns the earning to the creator and also reverses any Experts-funded difference. The creator is told by notification and email when earnings are transferred and when a transfer is reversed.
11. Statements, Reports and Taxes
Organizations can view and export statements and reports of their sales and earnings, by period and by event or course. Each is a dated statement of sales and earnings as at the date it was produced. It is not a tax invoice and not a confirmation of payout. Amounts not yet paid out remain subject to the payout date, refunds and Experts' review.
The organization is responsible for its own tax, licensing and accounting obligations, including those that arise from its earnings and from its dealings with its presenters and speakers.
12. Personal Data
Names, titles and photos of presenters and speakers, as entered by the organization, are shown on event and course pages and on the organization's public account, and appear in reports provided to the organization. The organization must have the permission of the people it names.
An organization's owners and the content managers assigned to an event can see that event's attendee list (name, email address, registration status and ticket type), and organization sales reports may show buyers' display names. The organization may use this information only to deliver and support its events and courses, as set out in the Event Publishing Policy and the Privacy Policy, and must limit access to the members who need it.
Bank details that an organization submits for payouts are protected and access to them is restricted. The organization sees them in masked form, and authorized Experts staff review them to verify the account. See the Privacy Policy for how Experts handles personal data.
13. The Organization's Responsibilities
The organization is responsible for its content, presenters, venue and delivery arrangements, the permissions it needs, and compliance with the laws that apply to it. Its content must be lawful, accurate and consistent with the Publishing Policy.
Experts is responsible for its own platform services, payment handling and the obligations that apply to Experts. Liability between Experts and the organization is governed by the signed organization agreement and, otherwise, by the Terms of Service.
14. Closing an Organization
Experts may close an organization at the organization's request, when its agreement ends, or under the signed organization agreement or these terms. An organization is closed, not deleted.
Before an organization is closed, its published events and courses must be unpublished or moved, its unpaid earnings and pending payouts must be paid out or settled, and its subscription must be cancelled.
When an organization is closed, every member loses access to its workspace and the members are told by notification and email. Its events and courses can no longer be bought or registered for, including checkouts started before the closure. Agreements that are still awaiting signature are withdrawn, and bank details that Experts never verified are removed. Its public account no longer represents it; the account itself remains an ordinary Experts account. Nothing new can be done in a closed organization.
Experts keeps the organization's records of sales, settlements, earnings, payouts, refunds and transfers, its signed agreements and their signing evidence, and the verified bank details that payouts were made to, for as long as tax, accounting and legal obligations require. Refund requests for earlier sales are still handled as described in section 8.
Two years after closing, Experts deletes the personal data of the people involved in the organization that it no longer needs: members' requirement submissions and files, the application's documents and the applicant's contact details, review notes, signing codes and invitations that were never accepted. Other personal data is handled under the Privacy Policy. Closing cannot be undone, and a closed organization cannot be reopened.
15. Changes to These Terms
Experts may update these Organization Terms and will publish the updated version on this page with a new date. Updates do not change a signed organization agreement or the terms already captured for a started checkout. Continued use of an organization workspace after an update means the organization accepts the updated terms.
